Overview
Remote Online Notarization (RON) allows you to perform notarial acts for clients who cannot be physically present. Ironwood Terminal integrates with BlueNotary to provide secure, compliant RON sessions with video recording, identity verification, and digital journaling.
RON sessions are ideal for out-of-state clients, deployed military personnel, elderly individuals in care facilities, and corporate officers who need notarization services without travel.
Important: RON authorization varies by state. California does not authorize RON. Always verify RON authorization for your state before offering RON services.
Getting Started
Access RON Sessions
Navigate to RON Sessions from the portal sidebar or use the Quick Actions on your dashboard. You'll see all your active and completed RON sessions in one place.
Create a New Session
Click Start RON Session to begin. You can create sessions from the RON Sessions page, from a client's detail page, or from a job detail page if applicable.
Link to Clients or Jobs
When creating a session, you can optionally link it to an existing client (from your CRM) or a job. This helps track all notarial acts for a particular client or case.
Creating a RON Session
Required Information
- Client Name: Full legal name of the signer
- Client Email: Email address where the session link will be sent
- Session Type: Jurat or Acknowledgment
- Optional: Scheduled time for future sessions
Session Types
- Jurat: For sworn statements or affidavits
- Acknowledgment: For confirming identity and signing
Managing Sessions
View Session Status
Each session shows its current status: Pending, In Progress, Completed, Failed, or Cancelled. Click on any session to view detailed information.
Access Session Room
When a session is active, use the Open Sessionbutton to join the BlueNotary video room. The client will receive their own link via email to join the session.
View Recordings
After completion, session recordings are automatically available for review. Access recordings from the session detail page for compliance and record-keeping.
Timeline View
Each session includes a timeline showing key events: creation, start time, completion, and any status changes. This helps track the session's progress and troubleshoot any issues.
Best Practices
Before the Session
- Verify client identity requirements for your jurisdiction
- Confirm the client has a stable internet connection
- Ensure documents are prepared and ready for signing
- Test your camera and microphone in advance
During the Session
- Follow all notarial laws and requirements for your state
- Verify identity using acceptable forms of ID
- Ensure the client signs in your presence via video
- Maintain professional demeanor throughout
After the Session
- Review the recording if needed for compliance
- Complete your notary journal entry
- Store session records securely per your state requirements
- Link session to client records in CRM for easy reference
Integration with Other Features
Client CRM Integration
RON sessions are automatically linked to client records when created from a client detail page. View all RON sessions for a client directly from their CRM profile.
Job Integration
Link RON sessions to specific jobs or cases for complete tracking. Access sessions from job detail pages to see all notarial acts related to that case.
